Time is the one resource every business owner wishes they had more of. We juggle multiple roles across our professional and personal lives, often feeling like there are not enough hours in the day. However, the problem usually isn’t a lack of time; it is how you are using the time you have.
Time blocking is a direct solution to the madness of multitasking. It kills procrastination, manages distractions, and can increase your productivity by as much as 50%. This method is perfect for Virtual Assistants with a backlog of work or those balancing a business with family life, as it forces you to focus on one task at a time.
If you want to stop reacting to your inbox and start leading your business, follow these seven tips to implement time blocks effectively. This is the exact type of structural discipline we advocate for in the VA Momentum Course to ensure your business remains profitable and professional.
Start by listing your necessary and urgent tasks. Select the top 3-5 most important items to tackle. Estimate how long each will take, but always overestimate the time required. It is better to finish early than to feel the pressure of an unrealistic schedule.
Divide your available hours into hourly or half hourly blocks. Even if you have an entire day at your disposal, do not leave it as a blank canvas. Set specific chunks for specific types of work to maintain your momentum.
Instead of being overly specific, use broader categories. “Write article” is more effective than “Write article on topics A, B, and C.” Why? It gives you the flexibility to make decisions based on your energy levels at that moment. More importantly, it prevents the feeling of failure if you have not completed a hyper specific sub-task by the end of the slot.
Do not let emails and social media notifications dictate your day. Block out specific times for reactive tasks like checking messages and replying to voice notes. Outside of those blocks, these tasks do not exist.
If you are in a deep work block, your phone should be on silent and your email tabs closed. If you leave the door open for interruptions, you are sabotaging your own productivity before you even start.
Set alarms or calendar notifications for the start of a new block and, crucially, for when the current block must end. This keeps you moving and prevents one task from bleeding into the rest of your day.
As we have discussed previously, you must work with your body clock. Schedule your most demanding, high brainpower tasks for the times you are most alert. Save the admin and routine filing for your natural energy dips.
Take notes and review your progress regularly. Keeping a record of what you have achieved in your blocks is a great way to see exactly where your time goes and how much you are truly accomplishing.
Do you use time blocks, or are you still trying to do everything at once? If you have implemented this, what has been the biggest change in your productivity? Share your experiences in the comments below.
