Your VA business : a recap on the basics

22nd February 2025

a recap on the basics

At VACT Limited, we have helped thousands of VAs launch successful businesses over the last 16 years. Whether you are coming from a PA or secretarial background, are currently employed, or facing redundancy, starting a work-from-home business brings up the same core questions.

This week, I am recapping the most common queries to help you get moving without the fluff.

What tools and equipment do I need?

The beauty of the VA industry is the low barrier to entry. Your overheads are minimal, meaning you can see a profit almost immediately. To start, you only need:

  • A reliable computer or laptop

  • A dedicated phone line or mobile

  • Contracts – please don’t create one using AI or ask to borrow one from a friend; I have a couple of suppliers I recommend and you can get a discount if you go via my links.

To make your life easier and your business more professional, I also recommend:

  • Video conferencing tools like Zoom

  • Time tracking and accounting software

  • File sharing via Dropbox or Google Drive

What business model should I use?

There is no one size fits all answer. Most UK VAs choose between being a Sole Trader or a Limited Company.

Being a Sole Trader is simpler to set up; you just notify HMRC and register for self-assessment. A Limited Company is more complex but offers better protection for your personal assets. Research both thoroughly before deciding.

What insurance and registrations are essential?

Do not work with a client until you have insurance. It protects your reputation and gives your clients peace of mind. You must have:

  • Professional Indemnity Insurance

  • Public Liability Insurance

We partner with PolicyBee to offer our trainees 10% off their Professional Indemnity insurance. You can get a jargon-free quote via their VACT partner page.

Additionally, if you handle personal data, you must understand your obligations under GDPR. Most VAs need to register with the Information Commissioner’s Office (ICO). It usually costs £52 per year, or £45 via direct debit. Registering shows your clients you take their data security seriously.

How much should I charge?

This is the question I am asked most often. While I cannot tell you exactly what to charge, VAs on our VA Momentum  Course typically range between £35 and £50 per hour.

Many VAs move away from hourly rates toward retainers or project packages. The key is to charge your worth. Check the Society of Virtual Assistants annual survey to see regional averages, but remember that your specific expertise dictates your value.

How do I find clients?

Clients are the lifeblood of your business, but they do not appear overnight. Success is built on relationships. People work with those they know, like, and trust.

Do not focus on the “hard sell.” Focus on networking and providing value.

Take the Next Step

Starting out can feel overwhelming, which is why we created the VA Momentum course. For £750, you get six CPD-accredited modules, monthly training webinars, and access to our active private Facebook group. It is designed to take you from “thinking about it” to a fully launched, professional business.
