Why the Need for An Associate VA?

17th May 2015

why the need for an associate va

One of the most common mistakes I see VAs make is waiting until they are drowning in work before they even think about hiring an associate. It is a reactive approach that leaves your business vulnerable. As a military veteran, I can tell you that operating without a contingency plan is a recipe for disaster.

In the VA world, using associates is not just about growth; it is about providing seamless, consistent support to your clients and protecting your reputation. Whether you are a solo flyer or scaling up, here is why you need a backup.

1. The Contingency Factor

Life happens. You might fall ill, need to attend a family event with your children, or perhaps you simply want to take a holiday without checking your emails every ten minutes. If you are the only person in your business, the business stops when you do. Having an associate ensures that if you are out of action, your clients still receive the high-level service they pay for.

2. Filling the Skill Gap

You cannot be an expert in everything. There will be times when a client asks for a task that sits outside your wheelhouse. Instead of having a panic attack or turning the work away (and losing the income), you should have an associate who specialises in that area. This allows you to offer a broader range of services while maintaining your position as the primary point of contact.

3. Managing the Overload

We have all been there: two “urgent” requests land from different clients at the exact same time. Even with the best forward planning and regular client reviews, bottlenecks occur. An associate allows you to share the workload, ensuring every deadline is met without sacrificing your own sanity or your customer care standards.

4. Boosting Your Income

When you work with an associate, you are no longer trading your own hours for pounds. You can take on more projects, manage larger accounts, and create a profit margin on the work the associate completes. It is the most effective way to scale your business beyond your own physical capacity.

“But I don’t have enough work yet!”

I hear this all the time, and quite frankly, it is the wrong way to look at it. Hiring an associate is not about making someone else busy; it is about professionalising your setup.

A few years ago, a student on one of my courses insisted she didn’t need an associate because she was just starting out. Within a week of finishing, she landed two big clients and was working 40 hours a week. Then, she fell ill. Because she had no backup, her clients were left stranded and eventually went elsewhere.

Your reputation is your currency. If you show your clients that the business survives only if you are sitting at your desk, you are a single point of failure. If you show them you have a resourceful, scalable team, you are a professional partner.

If you want to grow your business and start taking on associates properly, what action are you taking today?
