Building a thriving Virtual Assistant (VA) business requires more than just administrative skills; it demands a mindset of a business owner.
All too often, new Virtual Assistants launch their business by creating a website, picking a catchy name and creating some social media handles, only to realise that true success requires much more than just these initial steps
To truly stand out in the competitive VA landscape, you must instil habits that enhance your productivity, expertise, and client relationships. You effectively need to stand in the shoes of being the boss of your Business.
Here are six essential habits tailored for VAs, along with actionable tips to implement them effectively.
1. Be a Knowledge Sponge
Devour Industry Content: Stay ahead by subscribing to UK-focused VA blogs and listening to insightful podcasts like *Up Close and Virtual* by Katie Tew. This will keep you informed about the latest trends, tools, and client expectations.
Master Niche Skills: Specialise in specific skills, services, or software. Invest in online courses, attend webinars, and network with specialists to deepen your expertise.
Embrace Continuous Learning: Dedicate at least 30 minutes each day to reading industry publications, attending workshops, or watching tutorials on new software. Remember, knowledge is power!
2. Become a Financial Ninja
Track Your Finances: Use accounting tools like Xero to meticulously monitor your income and expenses.
Categorise your expenses, set realistic budgets, and track your billable hours. Many members of the VA Membership utilise our weekly co-working sessions for this purpose.
Invest in Your Business: Allocate a portion of your income for professional development, marketing, and essential software subscriptions. Investing in yourself is investing in your future success.
Get Tax-Savvy: Familiarise yourself with UK tax regulations for self-employed individuals. Consulting with an accountant can help you ensure compliance and optimise your tax deductions.
Send Invoices Promptly: Many VAs struggle with cash flow due to delayed invoicing. Make it a priority to send your invoices on the last day of each month—this simple habit can transform your financial health!
3. Prioritise Sleep & Well-being
Establish a Sleep Routine: Aim for 7-8 hours of quality sleep each night. Create a relaxing bedtime routine and avoid checking work emails in bed (a guilty pleasure many of us share!).
Stay Active: Schedule regular physical activities like walks, gym sessions, or yoga classes. Exercise boosts energy, enhances focus, and reduces stress. Consider investing in a standing desk for added benefits.
Nourish Your Body and Mind: Eat healthy meals, stay hydrated, and take regular breaks throughout the day. A healthy lifestyle fuels your productivity and resilience.
4. Focus on High-Value Tasks
Conduct a Time Audit: Track how you spend your time. Identify tasks that drain your energy without providing significant returns. Consider delegating or outsourcing these tasks—yes, even VAs can delegate!
Prioritise Impactful Tasks: Focus on activities that directly contribute to client success and your revenue. Identify your peak productivity times and schedule your most important work accordingly.
Utilise Automation Tools: Leverage scheduling software, project management tools, and email templates to streamline your workflow, freeing up time for high-value activities.
5. Network Like a Pro
Join UK VA Communities: Connect with fellow VAs through online forums and communities. Engage in groups like the VA Help Desk and the Society of Virtual Assistants to share best practices and learn from each other.
Attend Industry Events: Network with potential clients and build relationships with other professionals by attending events like the UK VA Conference and other regional VA conferences.
Offer Free Consultations: Share your expertise through free consultations or workshops. This not only showcases your value but can also lead to long-term partnerships and referrals.
6. Craft Your Ideal Morning Routine
Wake Up Refreshed: Forget the 5 AM alarm! Find a wake-up time that suits you and allows you to start your day feeling energised. For me, it’s a 6:45 AM alarm, but I’m also a mum for the first couple of hours!
Start with Positivity: Engage in a morning activity that sets a positive tone for the day, such as meditation, reading inspirational quotes, or spending quality time with loved ones.
Review Your Goals: Spend 10 minutes visualising your day, prioritising tasks, and setting realistic goals. I often do this while sitting at my desk after the school run!
Fuel Your Body and Mind: Enjoy a healthy breakfast and remember to stay hydrated throughout the day. Personally I am not so good at this one – I drink too much fizzy pop!
Remember:
Start Small: Don’t try to change everything at once. Integrate one new habit at a time and gradually build on your successes.
Track Your Progress: Use a habit tracker or journal to monitor your progress and celebrate your achievements. Recognising how far you’ve come will keep you motivated.
Embrace Flexibility: Life can be unpredictable. Be kind to yourself, adjust your plans when necessary, and get back on track the next day.
By adopting these essential habits, you’ll be ready to tackle the challenges of the business space, it takes time and effort to grow a successful business, and enjoy lasting success. But you can do it…
