Client consultations can be daunting, especially when you are just starting out or dealing with a high-profile lead. However, these meetings are the most effective way to convert a prospect into a paying client. Whether they have come through a recommendation or their own research, you must come across as confident, capable, and approachable.
Here are my top tips for handling your client consultations with authority.
Consultations can take longer than expected. Ensure you give yourself a generous buffer. There is nothing worse than having to rush a potential client because you have another appointment or need to leave for the school run.
You are the expert in your business. Do not be afraid to gently steer the conversation back on track if the client begins to ramble. Lead the call to ensure it remains productive.
You must appear assured of your skills. Prior to the call, take a few deep breaths and ensure you have a glass of water nearby. A simple trick is to smile while you speak; even if they cannot see you, it positively affects the tone and energy of your voice.
Never go into a consultation cold. Research the client’s website and social media profiles. Understand what they do and what matters to them so you can tailor your conversation accordingly.
Use a checklist of points you need to cover. This ensures you do not miss vital information and helps you maintain a professional structure throughout the meeting.
You must be able to state your rates and service packages without hesitation. If you feel nervous, practice with friends or family until you can discuss your fees with absolute confidence.
A consultation is not an interrogation. Use open-ended questions to put the client at ease and let them speak. Check in regularly to see if they have questions for you. This is as much about you vetting them as it is them vetting you.
Technology can fail. Even if you are recording the session, keep a notebook handy. You need a reliable record of the conversation to refer back to when drafting your proposal.
Know how you are going to ask for the work. Confirm the next steps, clarify if both parties feel the fit is right, and be prepared to tactfully refer them elsewhere if they are not the right match for your business.
If you need to check your schedule or verify details before committing, tell them. It is perfectly professional to take a short amount of time to ensure you can meet their needs. Simply state when you will get back to them and stick to it.
