The Must-Have Tools for Starting a Virtual Assistant Business in 2026

the must have tools for starting a virtual assistant business in 2026

If you’re starting your VA business in 2026, one of the first questions you’ll ask yourself is: what do I actually need?

It’s a smart question. When you’re starting out, every pound matters, and the last thing you need is to be paying for a stack of tools before you’ve got a single client on your books. The VA world is full of shiny objects and “must-have” software that someone, somewhere, is earning commission to recommend. So let’s be straight with you.

At the most basic level, you need a computer, a phone, a reliable internet connection, and professional indemnity insurance. That’s it. Everything else is a layer you add as your business grows and your needs become clearer.

That said, there are some tools worth knowing about from the start. Here’s a practical rundown.

[Please note: this blog contains affiliate links. I only ever recommend tools I or my team have personally used. If you click a link and make a purchase, I may receive a small commission at no extra cost to you.]

A Calendar and Booking Tool

Stop the email back-and-forth before it starts. A booking tool lets clients schedule time with you directly, which is professional and saves everyone time. Acuity Scheduling remains a solid choice, with a free tier available. If you’re already using Microsoft 365, you’ve got Microsoft Bookings included, so use it. If you’re in the Google ecosystem, Calendly integrates neatly and has a free plan. Personally, I bought Tidycal on an Appsumo deal. Don’t pay for a tool you don’t need yet, but do get something set up early.

Time Tracking

Track your time from day one, even if you’re on a retainer. It tells you where your hours are going, helps you price accurately, and becomes essential evidence when a client questions an invoice. Minutedock is a tool I’ve long recommended and it does the job well. Toggl Track is another widely used option with a free plan that suits most VAs starting out.  This blog shares 7 of the most popular time tracking software apps.

Video Calls

You’ll be on calls with clients regularly, so you need a reliable platform. Zoom remains the standard for most businesses and has a free tier that works for shorter meetings. Microsoft Teams is worth knowing your way around too, as many corporate clients will invite you into their own environment. You don’t need both, but you do need to be comfortable with whichever you’re using.

A CRM (Client Relationship Management Tool)

You don’t need this on day one, but you’ll want it sooner than you think. A CRM keeps track of your leads, clients, follow-ups, and conversations in one place. Capsule CRM is what I use and recommend. It’s been around for years, it’s straightforward, and it does what VAs actually need without unnecessary complexity. There’s a free plan, and if you’re a VA Membership member, we have a walkthrough training on it inside the Vault.

In 2026, there are AI-assisted CRM tools entering the market, but my advice is the same as always: don’t chase the shiny object. Get the basics working first.

A Professional Email Signature

This sounds minor. It isn’t. Your email signature is part of your first impression and a quiet bit of marketing in every message you send. WiseStamp lets you build a clean, professional signature with your contact details, website, and social links. It’s simple, it works, and it makes you look like you mean business.

Password Management and Security

Data protection isn’t optional. As a VA handling client information, you have responsibilities under UK GDPR, and that starts with securing your own access. Use a password manager. 1Password and Bitwarden are both well-regarded in 2026 and allow you to store, generate, and securely share login credentials with clients. LastPass is still around but has had notable security incidents in recent years, so do your own research before committing to any tool.

Lock your devices, use two-factor authentication wherever it’s offered, and take security seriously from the start. Your clients are trusting you with their business.

Document Sharing and Storage

You need a way to share files with clients securely. Google Drive and Dropbox both have free tiers that will get you started. If you’re on Microsoft 365, OneDrive and SharePoint are already included. In 2026, most clients will already have a preference for one ecosystem or another, so be ready to work within theirs as well as your own.  Think about what you are using elsewhere in your business and start there. So if you are using Microsoft – use that, if you are using Google for emails – use Google Drive. Simple!

Accounting Software

Don’t rush this one. When you’re just starting out, a well-organised spreadsheet is fine. Once you’re billing regularly, accounting software makes life considerably easier, particularly around invoicing, expenses, and VAT if you’re registered. QuickBooks, Xero, and FreshBooks all have plans suitable for small businesses. Some also integrate with payment tools like Stripe or GoCardless, which is worth considering as you grow.  Personally I recommend Xero – but it is not cheap; this is a link to get a discount on it.

A Note on AI Tools

It would be remiss not to mention AI in 2026. Tools like Claude, ChatGPT, and others are being used by VAs to support content creation, research, drafting, and task management. Used well, they can genuinely save you time. Used as a substitute for thinking, they can undermine the quality of work you deliver.

If you’re going to use AI tools in your VA business, be transparent with clients about how and when you use them, and make sure the final output always reflects your professional judgement. Your clients are paying for your expertise, not a chatbot.  Remember if you are using AI tools, it will need to be spelt out on your website and in your contracts!

The Bigger Picture

The tools matter less than the work ethic and the professionalism behind them. I’ve seen VAs build excellent businesses on a laptop, a free Zoom account, and sheer determination. I’ve also seen people spend hundreds of pounds on software before they’ve sent a single proposal.

Start lean. Get clients. Then invest in the tools that solve real problems you’re actually having.

It’s also worth remembering the Home / School versions of Microsoft and the free versions of Google are not licensed for business use!

I also have other recommended tools that you could use within your business on the resources page of this site – check them out here.
