The Importance of a Client Review Meeting

11th March 2026

importance of a client review

A client review is more than just a check-in; it is a collaborative exercise designed to sharpen your working relationship. By creating a structured space for feedback, you can celebrate wins, iron out friction points, and align your goals for the future. One of my clients used to describe this as http://www.ebi “what’s working well, even better if” and it has stuck with me ever since. (Thanks Steve).

Feedback is the lifeblood of any professional partnership. A formal review provides a neutral ground to address “niggles” before they become problems, while also allowing you to receive recognition for successful projects. When both parties have the opportunity to speak openly, it builds a foundation of trust that leads to a more productive and pleasant working environment.

Preparing for the Meeting

Whether you conduct your review via a video call or in person, preparation is vital.

  • Set an Agenda: Sending an agenda in advance demonstrates that you take the client’s time seriously.

  • Address Challenges: if a project did not go as planned, use this time to discuss why. Identifying the root cause of an issue allows you to create a strategy to prevent it from happening again.

  • Review Systems and Boundaries: This is the ideal time to discuss sensitive topics, such as late payments or boundary shifts, in a professional manner.

Proactive Value and Brainstorming

Being a Virtual Assistant is about more than just ticking off tasks; it is about being a proactive partner. Use the review to brainstorm ways to help your client reach their goals.

Perhaps you have discovered a software tool that could save them hours each week, or you have a connection in your network who could fast-track one of their projects. Highlighting the “added value” you have provided; such as introductions or efficiency improvements—reminds the client why your service is indispensable.

Identifying Upsell Opportunities

The review meeting is the most natural environment to discuss expanding your remit. By reviewing the workload of the previous three months, you may identify that the client is consistently hitting their hourly limit or that certain tasks are being rushed. This provides a professional opening to suggest moving to a larger retainer or upselling additional services that align with their upcoming goals. Rather than a “hard sell”, this is about ensuring they have the dedicated capacity they need to scale without interruption. If they have new projects on the horizon, proposing a more robust package now ensures you are both prepared for the growth ahead.

Strategic Planning for the Quarter

Discussing the next three months allows you to map out upcoming workloads and identify potential bottlenecks, such as planned holidays or peak periods. By helping your client clarify their targets for the quarter, you position yourself as a key player in their success rather than just a remote contractor.  This also allows you to explain to the client what work you could take on for them, rather than waiting for them to push work to you.

Referrals and Testimonials

If the review is positive, do not miss the opportunity to grow your business.

  1. Ask for a Referral: Your client has just confirmed they are happy with your work. They are often glad to support your success by recommending you to their own network, but they may need a gentle reminder to do so.

  2. Request a Testimonial: Ask for a brief recommendation for your website or LinkedIn profile. To make it easier for them, suggest specific skills or projects they could mention so the testimonial highlights your true value to prospective clients.

A Unique Selling Point

Offering these review meetings free of charge is an excellent selling point. It shows you are invested in the long-term health of their business. To ensure this remains a viable business practice, set a clear time limit for the meeting and stick to it.

I would love to hear if you already incorporate review meetings into your business model. What have you found most successful in retaining clients and securing new ones?
