As a Virtual Assistant, you are a professional gatekeeper. You understand that passwords must be complex and unique, but the real challenge arises when you need to hand those keys over to a client. Far too often, VAs fall into the trap of sending sensitive credentials via plain text email or a quick Skype message without a second thought.
If you are serious about your business standards, you need a process that is as secure as it is professional. Relying on “hope” as a security strategy is a liability you cannot afford.
This involves sending half a password via email and the other half via SMS or a different messaging platform.
Pros: It is better than sending the whole thing in one go and requires no extra software.
Cons: It is clunky, manual, and frankly, it looks amateur. It also does not protect the data once it is combined and stored at the other end.
Some VAs create a text document, save it in a folder, and share that folder with the client.
Pros: You are using tools you already pay for.
Cons: This is a major security risk. Dropbox has experienced data breaches in the past, and unless you have a high-level business subscription, your data is not always encrypted in a way that prevents the platform itself (or a hacker) from seeing it. Storing passwords in plain text is never the answer.
When a company like LastPass or Bitwarden reports a security incident, it can be unnerving. However, a company that is transparent about its vulnerabilities is often more trustworthy than one that stays silent. It shows they are monitoring their systems and take their “Zero Knowledge” architecture seriously. Here are the best ways to share data now:
Bitwarden is the powerhouse of the VA world. Their “Send” feature allows you to share a password or a file via a secure, encrypted link.
Pros: You can set the link to self-destruct after a certain number of clicks or a set period. It is open-source and highly transparent.
Cons: The setup can feel a bit technical for those who are not tech-savvy.
For a seamless client experience, 1Password is hard to beat. You can create a “Shared Vault” and invite your client as a guest.
Pros: Both you and the client can access the passwords without ever having to “send” them back and forth. If you change a password, it updates for them automatically.
Cons: It is a paid service, so there is a monthly cost involved.
This is a simple web-based tool that allows you to send a note that self-destructs the moment it is read.
Pros: It is free, fast, and requires no account. It is perfect for a one-off password hand-off.
Cons: You are relying on a third-party website to hold your data momentarily. It is great for convenience but lacks the long-term management features of a dedicated manager.
These are dedicated team-sharing platforms designed specifically for collaboration.
Pros: Excellent for VAs who manage teams. They offer granular control over who sees which password.
Cons: They are niche products that might feel like overkill if you are a solo VA just starting the VA Momentum Course.
Sending a password in an email is like sending a postcard through the mail—anyone who handles it can read it. Whether you use a self-destructing link or a shared vault, make sure you have a standard operating procedure for sharing data. It protects you, and it shows your clients that you are a professional who takes their security seriously.
What is your current system for sharing passwords? Do you use a dedicated manager, or are you still stuck in the “two-part email” cycle? Let us know in the comments.
