Diary management and inbox filtering are the “bread and butter” of the VA world. They are often the first tasks a busy entrepreneur will outsource because they are time-consuming and require a high level of organisation.
However, when you scale from one or two clients to five or six, these staple tasks can quickly become a logistical nightmare. Without a no-nonsense system in place, you risk double-booking, missing appointments, and falling into a state of total overwhelm.
If you want to run a professional VA business, you need to master the tools of the trade. Here is how to manage multiple diaries like a pro.
While there are dozens of scheduling apps on the market, the industry remains dominated by two heavyweights: Google Calendar and Microsoft Outlook.
As a VA, you don’t necessarily get to choose your favourite; you need to be proficient in both. Most clients will already have an established ecosystem, and your job is to slot into it seamlessly.
Google Workspace is a staple for many small businesses and creative entrepreneurs. Its greatest strength is its accessibility. Being cloud-based, it updates in real-time across PCs, Macs, and mobile devices.
Permissions: Your client simply needs to share their calendar with your professional email address, granting you “Make changes and manage sharing” rights.
Multiple Views: You can overlay multiple client calendars onto your own view to check for clashes with your own working hours. You can toggle these on and off to focus on one client at a time, preventing “visual clutter.”
Colour Coding: Use specific colours for different clients or appointment types (e.g., travel, meetings, personal) to give you an instant at-a-glance overview of their day.
For clients in more traditional sectors or those using Microsoft 365, Outlook is the go-to. It offers robust features that are essential for complex scheduling.
Delegate Access: In a professional environment, you should be set up as a “Delegate.” This allows you to send meeting invites on behalf of your client and manage their incoming requests without needing their private login details.
Side-by-Side View: Outlook’s “Calendar Groups” allow you to view multiple client diaries side-by-side or in an “overlay” mode.
Time Zone Management: If you are working with international clients, Outlook’s ability to display two or three time zones simultaneously is a lifesaver for avoiding 3:00 am meeting blunders.
Audit Your Tech: If you are managing an Outlook client and a Google client, use a syncing tool like Sync2 or CalendarBridge. Do not rely on your memory to transfer appointments between platforms.
Buffer Times: Never book back-to-back meetings without checking with your client first. Build in 10-15 minutes of “buffer” time for them to breathe, grab a coffee, or prep for the next call.
Protect Your Own Time: Ensure your own business tasks and school runs are blocked out on your “Master” calendar. You cannot support a client effectively if you are burnt out or double-booked with your own life.
Managing multiple diaries isn’t about being a magician; it’s about being a disciplined administrator. Use the tools, set the boundaries, and keep the communication lines open.
Are you a Google devotee or an Outlook expert? Perhaps you’ve found a way to make them both play nicely together? Share your tips in the comments.
