As a VA business owner, it is easy to forget about your rates once you have a full roster of clients. You get into a routine, the work flows, and before you know it, years have passed without a single price increase. This is a business, not a hobby. In any other industry, price adjustments are standard practice. Yet, many VAs avoid this conversation because they are operating from a place of fear.
Many of you worry about losing clients or being more expensive than the person next door. Let us be clear: your pricing is not about being the cheapest option on the market. Your rates reflect your expertise, the professional training you have invested in, your availability, and the specific value you deliver to your clients.
Here is how to increase your pricing with integrity and confidence.
Do not spring a surprise on your clients. Give them fair warning so they have time to adjust their budgets. This professional courtesy allows them to review their options and make any necessary internal changes to accommodate the increased investment in your services.
If you are increasing your rates, start by thanking your clients for their continued trust. Whether they have been with you for five months or five years, people appreciate being valued. A simple, honest acknowledgement of the relationship goes a long way in maintaining a solid partnership.
Remind your clients of the results you deliver. Share their wins and make the conversation personal. Explain how this shift benefits them. For example, it might allow you to work with fewer clients so you can provide a deeper level of focus or faster response times. You are not just asking for more money; you are sustaining a high quality service.
If you have a client on a strict budget whom you genuinely want to keep, look for solutions that do not involve devaluing your hourly rate. You could reassess their required hours, streamline the services provided, or offer an associate level solution. If you choose to offer a legacy discount, do it because it makes business sense, not out of guilt.
When you change your prices, things will shift. This includes your mindset and the way clients perceive you. When you charge what you are worth, your focus improves and your boundaries often become clearer. Some clients may move on, and that is fine. It makes room for those who value your expertise at its current level.
Remember, you have nothing to apologise for. Price increases are a normal part of business growth. Be open, be honest, and stop saying sorry for being a professional.
