A Virtual Assistant business, like any other professional venture, requires solid foundations. One of the most critical, yet frequently ignored, tasks is creating your business plan. Many new VAs wrongly assume this document is only necessary if you are chasing external funding or a bank loan. If you aren’t looking for a handout, you can skip it, right?
Wrong.
A business plan is an essential strategy document for every business owner. It is your roadmap, your reality check, and your blueprint for success.
We often fall into the trap of thinking business plans are reserved for massive corporations with boards of directors and demanding shareholders. In reality, a business plan is simply the process of bringing your research and ideas together in one place.
It forces you to clarify your niche, define your services, and identify exactly who your ideal client is. A well-constructed plan outlines your sales targets and financial requirements, proving whether your business idea is actually viable or just an expensive hobby. While it helps you share your vision with others, its most important audience is you.
The primary beneficiary of your business plan is you. It keeps you focused on your objectives and dictates the specific tasks required to achieve your goals.
Your plan is a summary of your vision. If that vision doesn’t involve impressing a bank manager, the document doesn’t need to be 50 pages of corporate jargon. It can be as simple or as comprehensive as you like, provided it is realistic, readable, and usable. It is the physical manifestation of your business strategy.
At a minimum, your plan should cover:
Vision and Objectives: What are you trying to achieve and why?
Experience: What skills are you bringing to the table?
Business Structure: Are you a sole trader or a limited company?
Marketing Strategy: Who are your clients and how will you reach them?
Financials: What are your startup costs, overheads, and income targets?
Think of it as the what, when, why, and how of your business operations. You do not need to have every single answer on day one, but you do need to start asking the right questions.
I’ll be honest: when I started, my first business plan was over 25 pages long and spent most of its life at the bottom of a drawer. I’ve learned since then.
A business plan must be a “live” document. It is not something you write once and forget. As your business grows and you move through different stages of development, your focus will naturally shift. Your plan should be refreshed regularly to reflect your current goals, especially if you work in 90-day sprints.
As a VA, you pride yourself on being organised and focused for your clients. You must apply that same discipline to your own business. Whether you use a complex template or a simple two-page summary, the key is to actually use it.
If you are serious about building a sustainable, professional business rather than just “freelancing,” you need to get your strategy on paper.
If you are struggling with the fundamentals or find the idea of a business plan daunting, I can help. The VA Momentum Course is designed to hand-hold you through this exact process. It is a practical, hands-on programme delivered through webinars, worksheets, and sample documents to ensure your business starts on the right footing.
