When a client first approaches you, the way you communicate and follow up is a direct reflection of how you will perform as their Virtual Assistant. If you want to project confidence, integrity, and sharp professionalism, your communications must be flawless from the jump.
Nowhere is this more critical than your onboarding process.
You have finished that initial discovery call via Zoom or Teams and you are both ready to move forward. You are keen to support their business, but now you need to transition them from a lead to an official client. This is where the heavy lifting of onboarding begins.
This is the system you use to gather paperwork, signatures, preferences, and payment before you start the actual work. It is about setting boundaries and getting the house in order so you can serve them effectively.
A standard onboarding list often includes:
Welcome letter and service proposal
Terms and business contract for signature
Initial invoice and payment setup
Support details (Retainer or Ad-hoc)
New client consultation and onboarding form
Secure password and subscription access
Clarification on communication channels and review calls
GDPR compliance and NDA if required
Access to collaboration tools like Trello, Asana, or Microsoft Teams
As a mother and a business owner, I know how much is on your plate. With so many moving parts, it is far too easy for a document or a signature to slip through the cracks, especially when you are managing multiple clients.
Automating your onboarding is not about being impersonal. It is about being efficient. This stage of the relationship is when a client is most likely to feel a bit of buyer’s remorse or apprehension. They are trusting you with their business. A streamlined, automated process allays those fears. It proves you are organised and that they have made the right investment.
Manual onboarding is a time sink. Typing the same emails, chasing signatures, and manually booking calls is not billable work. By using a system to automate reminders for outstanding contracts or invoices, you free yourself up to actually do the work you are being paid for.
If your onboarding is a mess, why should a client trust you to organise their business? You must lead by example.
You do not need to spend a fortune to get organised. You can start by using GSuite or Outlook calendars for reminders, or setting up a simple email sequence in a provider like MailerLite or ConvertKit.
For those ready to level up, dedicated systems like Dubsado or 17hats are excellent for keeping everything in one place. If you need different apps to talk to each other, tools like Zapier or Make can bridge the gap, ensuring that when an invoice is paid, a folder is automatically created or a project board is set up.
Your onboarding process sets the precedent. If you want a successful VA business, show your clients you mean business from day one. If you are looking to truly master your systems and scale your business, the VA Momentum Course provides the framework you need to move from frazzled to focused.
