You already know the power of outsourcing. If you’re reading this, you’re likely past the stage of needing to be convinced that doing everything yourself is a fast track to burnout. You want to focus on profit-building tasks, not the minutiae of your inbox.
But there comes a point where even a great Virtual Assistant (VA) isn’t enough. You don’t just need someone to do the tasks; you need someone to manage the machine. This is where the Online Business Manager (OBM) comes in.
This guide isn’t here to rehash basics. It’s a direct look at what an OBM actually does, whether you’re ready for one, and how to find a partner who takes your business as seriously as you do.
The terms are often used interchangeably, and many high-level VAs operate effectively as OBMs. However, the fundamental shift is in perspective and responsibility.
| Feature | Online Business Manager (OBM) | Virtual Assistant (VA) |
| The Big Picture | Focuses on strategy. They are the Integrator to your Visionary. | Focuses on execution. They are the “doers” who handle specific, assigned tasks. |
| Responsibility | Manages the business: systems, workflows, and often managing other team members. | Responsible for their own workload (e.g. newsletters, diary management, research). |
| Success Metric | The business operates efficiently without the owner’s constant input. | Tasks are completed accurately and delivered on time. |
| The Client Load | Typically manages 2–3 clients due to the depth of involvement. | Often manages 5–10 clients simultaneously. |
The Bottom Line: You hire a VA when you need more hands. You hire an OBM when you need more headspace.
Sarah Noked, a leader in the OBM space, breaks scaling down into three non-negotiable steps. If you try to skip to step three without fixing step one, your business will break under the pressure of growth.
Implement Systems (SOPs): You cannot scale a mess. Standard Operating Procedures (SOPs) are the foundation. They ensure that if a team member leaves, the business doesn’t stop.
Build Your Team: Move from being a solopreneur to a leader. This is where you stop being the bottleneck.
Delegate Tasks: This isn’t just about offloading work; it’s about trusting your team to own their roles entirely.
Hiring too early strains the budget; hiring too late strains your sanity. Sarah Noked often highlights that “readiness” isn’t just about your bank balance it’s about your operations. Look for these specific signals:
The Income Plateau: Your revenue has stalled because you are too busy “managing” to actually “grow.”
The Visionary Gap: You have big ideas but no one to turn them into a project plan. You are the “Visionary” but you lack an “Integrator.”
System Failure: You are doing the same manual tasks over and over because you haven’t documented the process.
The “In Charge” Fatigue: You’re tired of being the only person who knows how everything works.
If you want to move from “Worker Bee” to “Queen Bee,” you need an Integrator. You provide the vision; they provide the infrastructure.
Don’t settle for the first person who has a nice website. You need to know how they think under pressure. Use these questions to vet your next VA or OBM.
“How do you plan and prioritise your day when everything feels urgent?”
“What is your process when I give you a vague task with no instructions?” (You want someone who asks clarifying questions upfront, not someone who guesses.)
“Which tools are you an expert in, and how do you stay updated with new tech?”
“Tell me about a time you made a mistake with a client. How did you handle it?”
“How do you approach creating and maintaining SOPs for a growing team?” (A true OBM will have a clear system for documentation.)
“What is your approach to project management tools like ClickUp or Asana?”
“How would you describe your leadership style when managing other freelancers?”
“If I hand you a goal, like launching a new course in 90 days, what are the first three things you do?”
“How do you handle a business owner who tries to micro-manage or get back into the weeds?”
“What KPIs (Key Performance Indicators) do you suggest we track to measure your success?”
Before you post an advert, you must have your own house in order. To get a return on your investment, you need:
A Clear Vision: Where do you want to be in 12 months? Your OBM cannot be a mind reader. If you’re stuck here, consider a Power Hour with VACT to get your strategy straight before you hire.
A Willingness to Outsource: You must identify the tasks that only you can do (strategic alliances, high-level content, brand direction) and be prepared to hand over the rest.
Our Recommendation: For business owners looking for the gold standard in OBM support, I highly recommend Sarah Noked for training. Whether you are a VA looking to level up or a business owner wanting to ensure your OBM is trained to the highest professional standard, Sarah’s OBM School provides the framework and accreditation required to lead with authority.
This is where most business owners fail. You’ve built this business from the ground up, but if you micro-manage your OBM, you are wasting your money. Trust is the currency of this relationship.
Work with your OBM to create (improve) an Operations Manual. This document should outline your brand voice, preferred tools, and crucially a pre-approved budget they can spend without asking you. This gives them the autonomy to lead and you the freedom to be the visionary.
A good OBM is an investment, not an expense. Treat them as a partner:
Respect their boundaries: No late-night messages. Respect their weekends as you would want yours respected.
Pay them well: OBM rates in the UK range from £40 to £150 per hour. If they are growing your profit, ensure their compensation reflects that.
Publicly advocate: Refer them to your network. A high-level OBM is worth their weight in gold.
You don’t need to be a corporate giant to hire an OBM. You just need the courage to step out of the weeds and into the lead.
