Any business owner knows they must keep a track of their finances. Ideally, on a monthly basis you should be monitoring your new clients and income figures, keeping a record of all invoices (the ones you have sent out, those that have not yet been paid, and the invoices you have received) and keeping track of your expenditure.
But what else should you be keeping track of? If you are just looking at your bank balance, you are missing the bigger picture. To run a lean, efficient, and profitable business, you need to look at the data.
Here are 10 things you need to be tracking if you want to monitor the health and growth of your business. Some of these might be things you want to help your clients track within their business.
When it comes to your emails, whether they are automated or broadcast, you must track the number of click-throughs and opens. These figures indicate which email headers were most appealing and what products or subjects your readers actually care about. Your email service provider gives you these reports for a reason. Use them.
Keep an eye on your bounced emails. Delete those contacts from your list immediately. If you are paying for a service based on subscriber numbers, you are literally throwing money away by keeping dead data on your books.
You should be writing blogs weekly to drive traffic to your site. Track the number of views each blog has using Google Analytics. Knowing which topics resonate allows you to stop guessing and start creating content that converts. It also provides a roadmap for your social media strategy.
If people land on your site and leave within seconds, you have a problem. High bounce rates usually mean your content is not meeting the visitor’s expectations or your site is too slow. Tracking the time spent on pages helps you understand what is working and what needs a complete overhaul.
Where are your visitors coming from? Whether it is organic search, LinkedIn, or a referral from a colleague, you need to know. This tells you where to spend your time. If you are spending hours on Instagram but getting zero traffic from it, you need to change your strategy.
Whether you are investing in Facebook advertising, professional development, or a new piece of software, you must track the ROI. An investment is only worth it if it brings in the leads or efficiency you require. If it costs more than it earns, it is a hobby, not a business asset.
It is cheaper to keep a client than to find a new one. Track how long clients stay with you. If you have a high turnover of one-off jobs but no recurring income, your business model is unstable. Use feedback forms and direct check-ins to find out why people leave and why they stay.
You should have a list of your Dream 100: the people, partners, or brands you want to work with or be referred by. Track your touchpoints with them. How many times have you reached out this month? Relationships require work and consistency. If you are not tracking your outreach, it will not happen.
Set specific KPIs for your growth. This might be a specific number of discovery calls per month or a target for billable hours versus administrative hours. If you do not measure your performance against a goal, you are just drifting.
How many enquiries did you get this month? Out of those, how many booked a discovery call, and how many signed a contract? If you have ten enquiries but zero sales, you need to look at your sales process. Tracking this data helps you identify exactly where the “leak” is in your business.
