How to set boundaries in your VA business

how to set boundaries in your va business

When you run your own business, clarity is your greatest asset. If you are vague about who you are, what you do, and when you work, you invite chaos.

Business boundaries are the rules of engagement. They define how you and your clients interact, ensuring the relationship is professional, productive, and respectful. Without them, you don’t own a business; you own a stressful job with far too many bosses.

Why boundaries are non-negotiable

If you want to scale your business and maintain high-level client relationships, everyone must understand the terms of engagement.

Boundaries protect your most valuable resources: your time and your mental health. By being explicit about your working hours and delivery timescales, you eliminate the ambiguity that leads to burnout. These rules are there to protect you, but they also protect your clients by ensuring you are always operating at your best.

How to set your boundaries

Setting boundaries requires you to be honest about how you actually want to work. Start by documenting the following:

  • Who you work with: Define your niche and the specific tasks you will (and will not) take on.

  • How you work: This includes your workflows, preferred communication channels, software, and payment terms.

  • When you work: State your exact availability. “Available most days” is not a business policy.

  • What you expect: Be clear about client lead times and the information you need from them to do your job.

Once documented, weave these into your onboarding process, client contracts, and welcome packs. If it isn’t in writing, it doesn’t exist.

Protect what you have built

As the boss, the responsibility to enforce these rules lies solely with you. You must train your clients, your family, and yourself to honour them.

This might mean having a direct conversation with a client who ignores your timescales, or simply turning off your phone at 5:00 pm. You have worked hard to build your reputation; do not let a lack of discipline undermine it.

A hard-earned lesson

When I started in 2012, I spoke about boundaries but failed to enforce them. When I finally found my backbone, my clients were confused because I had moved the goalposts. It is far easier to be firm from day one than to try and retro-fit discipline into a messy relationship.

I also learned the hard way about communication channels. I used to allow clients to message me via WhatsApp or Messenger. They would “brain dump” at 10:00 pm, I would see it, and by the next morning, it was buried under personal messages and forgotten. Now, I have a strict “no work via DM” rule. Work goes through the CRM or email. It isn’t about being difficult; it’s about being efficient and ensuring nothing falls through the cracks.  In fairness, nowadays I would use WhatsApp for Business as this allows you to set an out of office and receive the messages in the morning!
