How to share your computer screen with someone else

how to share your computer screen with someone else

Clarifying a client’s needs can be a battle, especially when they are struggling to articulate a technical snag. You are listening, but the mental image just is not forming. Equally frustrating is when you have built a brilliant solution, but the client simply cannot grasp how to use it over a standard voice call.

In the virtual world, you cannot just pop over to their office and point at their monitor. This is where professional screen sharing software becomes the most valuable tool in your kit. It transforms a confusing conversation into a live demonstration, allowing you to show, rather than just tell.

The 2026 Screen Sharing Landscape

The tools we used five years ago have evolved—or disappeared. Skype has been retired in favour of more robust business platforms, and browser-based security has made older “no-install” options less reliable. As a professional VA, your tools should be seamless, secure, and easy for your client to join.

Top tools for visual collaboration

1. Zoom

Zoom remains the industry standard for a reason. It is reliable even on lower bandwidths and most clients already know how to use it.

  • Pros: Excellent stability, built-in recording for “how-to” tutorials, and the ability for the client to grant you remote control of their mouse.

  • Cons: The 40-minute limit on the free version can cut a deep-dive strategy session short.

2. Microsoft Teams

Since the retirement of Skype, Teams has become the go-to for many UK businesses. If your client is already using Microsoft 365, this is a “no-brainer”.

  • Pros: Deep integration with Word, Excel, and Outlook. It allows for high-quality screen sharing and real-time document collaboration.

  • Cons: The interface can feel “heavy” and cluttered for those who only want a simple screen share.

3. Google Meet

For VAs who live in Google Workspace, Meet is the most efficient option. There is nothing for the client to download; they just click a link in their browser.

  • Pros: Completely browser-based, incredibly fast to set up, and integrates perfectly with Google Calendar.

  • Cons: It lacks some of the more advanced remote-control features found in Zoom or TeamViewer.

4. Loom (Asynchronous Sharing)

Sometimes you do not need a live meeting. Loom allows you to record your screen and camera simultaneously to create a video message.

  • Pros: Perfect for “how-to” guides or project updates that the client can watch in their own time. It saves everyone a meeting.

  • Cons: It is not a live tool, so you cannot have a back-and-forth conversation in real-time.

5. TeamViewer

If your VA work involves technical support or “fixing” things on a client’s computer, TeamViewer is the heavy hitter.

  • Pros: Industry-leading security and the most robust remote-access features available. It works across PC, Mac, and mobile.

  • Cons: The commercial licensing is a significant investment, so it is best suited for VAs who specialise in tech support.

Professionalism is key

Whichever tool you choose, ensure you have tested it before the client call. Nothing kills a professional vibe faster than ten minutes of “Can you see me now?” or “I think I need to download a plugin.”

Whether you are walking a client through their new CRM or explaining the latest module of the VA Momentum Course, screen sharing ensures you are both on the same page—literally.

Are you still relying on voice calls, or have you made screen sharing a standard part of your onboarding? Share your favourite tools and any “tech-fail” stories in the comments below.
