Creating boundaries with your clients

creating boundaries with your clients

The Respect You Crave Starts with the Boundaries You Set

If you want to earn the respect of your clients, you must create boundaries. It is that simple. Boundaries do more than just protect your downtime; they leverage your time and ensure your clients understand exactly what is expected of them.

It is surprising how many VAs find this difficult, considering it is the bedrock of a professional relationship. Many start-up Virtual Assistants fall into the trap of working 18-hour days to prove their worth. Yet, most of us started our own businesses to work around our children and our lives, not to be a slave to a laptop.

Whether you work standard office hours or part-time, the key is to be clear on when you work and, more importantly, to stick to those boundaries yourself.

Stop Rescuing Them

We all like to feel invaluable. However, if you make yourself available 24/7, you are creating a co-dependent relationship where your clients cannot function without you.

By jumping every time they “need” you, you are doing them a massive disservice. You are training them to avoid taking responsibility and to expect a “rescue” at any hour. Often, if left for an hour or two, a client will find their own solution. By stepping back, you allow them to grow and you protect your own sanity.

Get Procedures in Place

If a client thinks you are always available, you have failed to educate them on how you operate. Procedures and policies are not just “admin”—they are the rules of engagement.

  • The Contract: Your terms of service must explicitly state your working hours, your communication methods, and your turnaround times.

  • The Onboarding: Before you start work, go through these expectations verbally. Ensure they sign the contract confirming they understand how the relationship works.

  • The Lead Time: Define how much notice you require for tasks. Urgent “fire drills” should be the exception, not the rule.

Enforce Your Boundaries

A boundary is only a suggestion if it isn’t enforced. You must protect your time and address any “boundary-creeping” early. Do this politely but firmly.

If a client consistently ignores your hours or sends “urgent” messages on a Sunday evening, you must address it immediately. If they cannot respect your professional limits after a warning, do not be afraid to fire them. A client who doesn’t respect your time doesn’t respect your expertise. You are a business owner, not an on-call employee.

Setting boundaries is the key to both business success and your long-term health. If you don’t value your own time, your clients certainly won’t.
