Best Tools to Manage Your VA Content Without the Overwhelm

1st April 2026

manage your va content

Consistency is the driver of success for any Virtual Assistant. We know we need to post regularly to stay visible, but the real struggle isn’t the “when”—it’s the “what.” Coming up with fresh ideas and, more importantly, remembering them when you actually sit down to work is where most VAs trip up.

I am a straight talker: if you don’t have a system to capture your ideas, you don’t have a content strategy; you have a wish list.

You need a way to collate data and inspiration so you aren’t staring at a blank cursor on a Tuesday morning. Here is my reviewed list of tools to help you get organised. Don’t try to use all of them. Pick one for “quick capture” and one for “planning,” then master them.

1. The Quick Capture: Apple Notes or Google Keep

Ideas rarely strike when you are sitting at your desk. They happen on the school run, at the gym, or in the middle of the night.

  • Apple Notes: If you’re an iPhone user, this is your digital brain. It’s fast, syncs across your Mac, and allows you to snap photos of inspiration instantly.

  • Google Keep: The equivalent for Android or Google Workspace users. It’s essentially a digital board of Post-it notes. Colour-code them—perhaps yellow for blog ideas and blue for social media hooks.

2. The Visual Planner: Trello

If your brain works visually, Trello is hard to beat. It uses a “card” system that acts like a digital mood board. You can create columns for “Ideas,” “In Progress,” and “Published.” Attach images, links, and checklists to each card so everything you need for a post is in one place.

3. The Organised Blueprint: Asana

For those who prefer a structured list and a clear deadline, Asana is the professional choice. It allows you to plan, organise, and track the progress of your content from the initial thought to the final click of the “publish” button. It’s a great way to keep your research links tied directly to the task.

4. The Digital Filing Cabinet: Dropbox

Don’t waste time hunting through your “Downloads” folder for that one graphic you made last week. Use Dropbox to store all your social media assets. Create a specific folder for “Approved Images” so you can grab what you need from your phone or desktop in seconds.

5. The “All-in-One”: Notion

Notion is incredibly powerful, allowing you to build a full content calendar, database, and drafting space in one. It’s a “build-your-own” workspace. However, a word of caution: don’t spend so much time making it look “pretty” that you forget to actually write your content.

6. The Research Assistant: Feedly

Stop scrolling aimlessly through news feeds. Feedly is an aggregator that pulls together the RSS feeds of the websites and experts you actually respect. Spend ten minutes a morning skimming the headlines, save the best ones, and you’ll never run out of industry news to share with your audience.

7. The Time-Saver: Buffer

Buffer is more than just a scheduler. Use their browser extension to bookmark interesting articles or images as you find them during your workday. You can save them directly to your queue, ensuring your social media stays active even when you are head-down in client work.

My No-Nonsense Advice

Don’t be a “tool collector.” Every minute you spend moving notes from one app to another is a minute you aren’t actually running your business.

If you are just starting out, the VA Momentum Course will help you establish these basic business systems so you aren’t constantly firefighting. If you’re already established but your content feels like a mess, our VA Membership is where we refine these processes and keep you accountable.

What systems do you currently use to keep track of your ideas? Are you a tech fan or do you prefer a simple notebook?  (I prefer a notebook and pen, or Apple Notes or Google Keep)
