Business operating procedures are essential whether you are a solo Virtual Assistant, a Lead VA managing a team of associates, growing a VA Agency, or selling yourself as an Online Business Manager (OBM).
If you read any literature about transitioning into a VA Agency or the OBM role, one of the first tasks suggested is reviewing a client SOPs to determine if you are a good fit. This is not just a corporate buzzword; it is the backbone of a functional business.
Consider these scenarios:
You hire a new associate. Instead of spending hours on Zoom, you hand them a checklist and process. You then use your own onboarding checklist to ensure they have every login and brief required.
You double your client load and take on a team. To maintain your reputation for high quality delivery, every person must follow your exact, proven process.
You become suddenly ill. An associate or partner needs to step in immediately to keep the lights on. They cannot do that if the instructions are locked in your head.
Standardising your business ensures consistency and provides peace of mind. It is time to put aside the JFDI (Just F***ing Do It) spirit for a moment and focus on the efficiency that actually moves the needle.
Standard Operating Procedures (SOPs) are written instructions that outline and standardise tasks. While the VA industry is unregulated, following SOPs is about best practice and professionalism.
In plain English, SOPs are how-to guides. They can be detailed manuals or simple checklists for tasks like adding content to a WordPress blog.
1. Maintaining Quality Standards SOPs ensure every team member understands the expected level of service. Tasks are easily delegated to associates without a drop in quality.
2. Troubleshooting When things go wrong, SOPs provide a roadmap. Manuals describe how to diagnose and solve problems so any team member can handle the situation without panicking.
3. No Guesswork Clearly spelled out procedures prevent emotional or rash decisions. Conflicts are solved fairly based on established protocol rather than guesswork.
4. Reduced Learning Curve SOPs allow you to train new associates quickly. They make fewer errors and settle into your business faster because they know exactly what is expected of them.
5. Financial Control SOPs make bookkeeping and purchasing seamless. You can set levels of authority so associates know exactly what they can spend or refund without needing to interrupt you.
6. Increased Company Value Efficiency leads to profitability. If you ever choose to sell your VA business, having documented systems makes it a valuable, turnkey asset.
Creating SOPs is about documenting every possible function. Ideally, these are in place before you launch, but the reality is that most VAs scramble to create them after something goes wrong. Do not wait for a crisis to start documenting.
Be the Expert Document the tasks you know inside out, but do not assume your way is the only way. Ask for input in groups like the VA Help Desk to see how others manage similar workflows.
Clear and Concise Use simple, direct language. I liken this to explaining a task to a 7 year old. In an emergency, you want instructions that are impossible to misunderstand.
Details Matter Include specific document locations, login details, and helpful hints. If someone has to ask you a question to finish the task, the SOP has failed.
Link Related Procedures Cross reference associated tasks. For example, a process for blog formatting should link directly to your social media promotion process.
I recommend creating a “The Way We Do It Here” manual. This should include your templates, email signatures, brand fonts, logos, and specific language preferences. It’s a great thing to hand to team members / associates to ensure your business is run in the way in which you want your business to run.
