Reframing the Consultation: It Starts with Your Mindset

3rd March 2026

reframing the consultation

The process of winning a new client begins long before you dial their number or walk into the meeting room. It starts with your preparation and, more importantly, your mindset.

In my coaching and mentoring sessions, the most common hurdle VAs face isn’t a lack of skill—it’s a lack of confidence. Many VAs are held back by a negative belief system, plagued by “What ifs” that act as a handbrake on their success.

Breaking the Cycle of Doubt

Does this sound familiar?

  • “What if they’ve spoken to other VAs who are better than me?”

  • “What if they aren’t prepared to pay my fees?”

  • “What if they don’t see the point of using a VA?”

  • “What if I say the wrong thing and put them off?”

These thoughts are common, but they are also a choice. To move forward, you must flip the script and focus on the opposite possibilities:

  • What if the fact they are meeting with you proves they are interested? Their time is valuable; they wouldn’t waste it if you hadn’t already made a strong impression.

  • What if they have spoken to other VAs and realised that you are the unique fit their business needs?

  • What if you articulate your value so clearly that they see exactly how your services will positively impact their bottom line?

  • What if you remain calm and professional because you are passionate about your work and have prepared thoroughly?

Now, remove the “What if” from those sentences. They become powerful affirmations. This is the first step in changing your frame of mind. When you are confident in the value you deliver, your prospective clients will sense that authority.

Define Your Uniqueness

Avoid the trap of copying-and-pasting generic “benefits” lists from other VA websites. To stand out, you must be authentic and direct about what you bring to the table. Ask yourself:

  1. What specifically makes me different?

  2. What tangible results can I help my clients achieve?

  3. How do I help them reach their long-term vision?

  4. How do I protect what is most important to them (their time, their reputation, their growth)?

Step Into the Prospect’s Mind

To lead a consultation effectively, you must understand the person sitting across from you. They are likely thinking:

  • “I don’t know much about how this VA service works.”

  • “How will this solve my specific challenges?”

  • “Do they understand my expectations and the results I need?”

  • “What is the actual cost, and can I justify the investment?”

There is nothing more embarrassing or unprofessional than being asked these questions and failing to provide a straight answer. It is immediately obvious when a VA has not prepared. You often only get one chance to win a client over; do not waste it by being ill-equipped.  So literally practice answering these questions and how you will respond if someone says these comments to you.

Take the Lead

Clients want to feel understood. They don’t want to be met with a vague “So, how can I help you?” right out of the gate. They want you to take charge.

Our research at the VA Training Academy shows that what makes a VA truly attractive to a prospect is the ability to demonstrate a deep understanding of their business needs. Being a “servant leader” means guiding the client toward the best solution for them, which requires you to lead the conversation with authority and empathy.

At VACT, we provide our delegates with a proven model and effective scripts to handle these consultations. Preparation isn’t just about having the right documents; it’s about having the right mindset to show up as the professional your client needs.  You can access these when you join the VA Membership.
