9 strategies to be more productive

Are you one of the many VAs who constantly feel there are never enough hours in the day? Do you feel overwhelmed by the mountain of tasks facing you, whether for your own business or your clients?

Overwhelm is a choice, often driven by a lack of clarity. If you want to move away from that frantic feeling and get back to a state of calm, you need to change your approach.

Here is how you do it.

1. Clarify your goals

Much of the time we feel overwhelmed because we do not know what we should be doing each day. Without a target, you lose direction. Be clear about your aims, both long and short term. Write down exactly what you want to achieve and why. When you have a defined timeframe, you can plan accordingly rather than just “being busy.”

2. Focus on your key priorities

As a VA, you tell your clients that they must focus on high-level tasks to reach their goals. You must apply that same logic to yourself. You will be more productive and profitable if you focus on the areas most crucial to your business growth. Work on the fundamentals first. Build a strong foundation before you try to decorate the windows.

3. Schedule your calendar

Your calendar is your boss. Use it to block out time for specific, high-priority activities. Use project management tools like Basecamp or Trello to keep your tasks organised. When you can see your plan laid out in front of you, the anxiety of the unknown disappears.

4. Start saying “no”

To quote Jim Rohn: “Don’t let your mouth overload your back.” Before you agree to a new project, check your schedule. Unless you have an associate ready to take the reins, do not commit to what you cannot deliver. This is about client management. If you are proactive and provide regular updates, you stay in control. If you are reactive, the client stays in control.

5. Build a support system

You cannot do everything alone. This is where having an associate VA is vital. Delegate what you cannot do or what you do not have time for. This ensures you never miss a deadline and keeps you focused on your core activities. Use automation where possible, whether that is email marketing through tools like MailerLite or automated booking systems.

6. Stop avoiding the “big” tasks

Often, we keep ourselves busy with “fluff” tasks to avoid the one big thing we actually need to do. If a task feels too large, break it down into bite-sized chunks or delegate it. Stop using busywork as a distraction from progress.

7. Replicate your “holiday efficiency”

Have you noticed how efficient you become the week before you go on holiday? You get a month’s worth of work done in five days. Why? Because you have a hard deadline and a clear incentive. Apply that same “pre-holiday” discipline to your daily routine. Treat every Friday like the day before a flight.

8. Create genuine balance

I am a military veteran and a mum to two boys, aged 11 and 15. Life is busy. I ensure my personal appointments and school holidays are blocked out in my calendar first. This is about choice. You can choose to work yourself into the ground, or you can choose to take 15 minutes to walk, clear your head, and reset.

9. Close the day properly

I encourage you to spend at least 20 minutes at the end of each day filing emails, actioning post, and writing the “to-do” list for the next morning.

I also recommend providing your clients with a brief summary of what you completed that day for those clients where you provide a daily support. It gives them peace of mind and gives you the satisfaction of ticking those tasks off your list.

Stop saying you don’t have enough time. You have the same 24 hours as everyone else who is out there achieving their goals. It isn’t about time management; it is about life management.

What do you do to create calm in your day? How do you ensure you are working on your business as well as for your clients? Let me know in the comments.
