7 building blocks for setting up a va business

If you’re thinking about setting up a Virtual Assistant business, you want to ensure you have the right building blocks in place to give it the best possible start. It’s a sad reality that many new businesses fail, and quite often, this is because they lacked a solid foundation.

To help you build a business that lasts, here are the seven pillars you need to establish from day one.

1. Master Your Mindset

Having the right mindset is critical for success. When you start out, you might face “mind monkeys”—those nagging voices of fear and worry that tell you you aren’t ready. You must address these quickly.

The biggest hurdle is often the shift from employee to business owner. As an employee, you wait for tasks; as a business owner, you create opportunities. You are no longer just “doing the work” you are the CEO, the marketing department, and the strategist. Embracing this identity early is what separates hobbyists from professionals.

2. Have a Concrete Plan

A business plan isn’t just a formal document for the bank; it’s your roadmap. It should cover everything from legal structures and insurance to how you intend to attract your very first client. Without a plan, it is nearly impossible to hold yourself accountable. When you have your goals written down, you can track your progress and see exactly where you need to adjust your course to achieve success.

3. Be Clear on What You Want

The beauty of working for yourself is that you are in charge. Before you sign your first client, get clear on how you want your life to look.

  • Do you want to work strictly during school hours?

  • Are you planning to work remotely while traveling?

  • What services do you actually enjoy doing?

If you don’t steer your business toward your personal goals, you’ll end up creating a job you hate. Be intentional about your boundaries and your “why” right from the start.

4. Know Your Customer

You cannot sell effectively if you don’t know who you are talking to. At a base level, you need to identify your ideal client’s pain points. If you aren’t sure what they need, do some research. Get on the phone for a “market research” chat or meet a potential client for coffee. Ask them: “What is the one task that keeps you up at night?” When you understand their greatest needs, you can build packages that are impossible for them to refuse.

5. Focus on Value, Not Just Price

Value is a key building block of a successful VA business. This doesn’t mean lowering your prices; in fact, it often means the opposite. High value comes from:

  • Taking your business seriously: Having professional contracts and systems in place.

  • Charging what you’re worth: Understanding the ROI you provide to a client’s business.

  • Authenticity: Staying true to your ethics and delivering an exceptional level of service that makes your clients feel fully supported.

6. Build Your Network

Networking is an essential pillar you will lean on throughout your career. The VA industry is uniquely collaborative; by networking with other VAs, you open doors to associate roles and peer support.

Equally, you need to network to find clients. Whether in-person or online, the goal is the same: build genuine relationships first. Don’t just “pitch”, listen, be helpful, and show up consistently where your ideal clients hang out.

7. Get Help and Support

The value of a mentor or a supportive community is immense. A mentor helps you avoid common pitfalls and fast-tracks your growth by sharing the lessons they’ve already learned the hard way.

If one-to-one mentoring isn’t in your budget yet, find a community. Whether it’s a dedicated Facebook group, a kickstart course, or a self-study programme like the VA Momentum Course, having a support system ensures you aren’t shouting into the void when things get tough.
