There is a common misconception in the virtual assistant world that content creation has to be a drawn-out, creative “process.” It doesn’t. If you are waiting for a spark of inspiration to strike before you write your next blog, you are wasting billable hours.
As a VA, you are an expert in your niche. You solve problems every day. That knowledge is all the “inspiration” you need. This exercise is designed to help you extract that knowledge and turn it into a 20-week content calendar in just 20 minutes—without touching a single AI generator.
While automation has its place, relying on AI to tell you what your clients care about is a mistake. Your clients hire youfor your unique perspective, your “straight-talking” advice, and your specific experience.
When you do this exercise manually, you ensure your content is:
Authentic: It reflects your actual conversations with clients.
Niche-Specific: It addresses the real-world friction points you see in your industry.
Authoritative: It proves you know your business inside and out.
Set a timer. No distractions. No “checking a quick email.” Just focus.
Phase 1: The Core Pillars (5 Minutes) List the five main areas of your business. If you are a specialist VA, these might be “Email Marketing,” “Project Management,” or “Systems Audit.” These are your foundations.
Phase 2: The Pain Points (10 Minutes) Look at your pillars and ask yourself:
What is the biggest headache my clients have in this area?
What is the one thing they always forget to do?
What was the last “win” I achieved for a client here? Write down four specific topics for each pillar. There are your 20 titles.
Phase 3: The Structure (5 Minutes) Give each topic a direct, honest title. Don’t worry about being “clever.” Be clear.
Instead of: “The Magic of Better Inboxes”
Try: “How to Reduce Your Unread Emails by 50% This Week”
Planning 20 weeks of content is not just about staying busy. It is about servant leadership. By showing up consistently with valuable advice, you are leading your audience and providing them with the tools they need to succeed.
Once you have these 20 titles, you can plan your “batching” sessions. Knowing what you are writing about ahead of time removes the mental friction and allows you to produce high-quality work in a fraction of the time.
Did you manage to hit 20 titles before the timer went off?
