Whether you are just starting your journey as a Virtual Assistant or you have been in the game for years, it is easy to find yourself caught in a cycle of constant “doing” without any clear direction. You might feel like you are back in the humdrum of a reactive workload, or perhaps the initial excitement of launching your business has been replaced by a looming sense of overwhelm.
If you are feeling a little lost or panicking that you are not where you should be, take a breath. It is never too late to stop, reflect, and plan. In fact, if you want to build a sustainable, professional business, you must make this a regular habit.
Here are my top recommendations for ensuring your productivity plans set you up for a successful, profitable business.
When you are new, it is tempting to say “yes” to everything. But if you do not know your own priorities, you will end up building a business that feels like a prison. Are you aiming for a goal you actually want, or one you think you “should” want? If family is your priority, do not plan to work 12 hour days. Put on your CEO hat and decide what stays and what needs dropping.
There is no magic, one size fits all solution in this industry. You can be coached and mentored, but you must tweak what you learn to suit your personality. Swim in your own lane. Do not compare your day one to someone else’s day 1,000.
Overwhelm usually happens because we are looking at the mountain instead of the next step. Stop trying to plan the next twelve months in detail. Start with the next 90 days. This narrows your focus and makes your goals feel achievable. Break your long term vision into manageable quarterly segments. It feels far less scary when you give yourself permission to achieve things incrementally.
VAs are the masters of organisation for their clients, yet many fail to use the tools they buy for themselves. Whether it is digital or paper, use your planner to protect your time. If you do not schedule your own business development and rest, your clients will fill those gaps for you. I am a firm believer in planning on paper and then transfer to electronic planners.
If you do not track your progress, you will struggle to see how far you have come. This leads to demotivation. Track your sales, your networking, and even your small wins. In the VA Momentum Course and the VA Membership, we practice weekly accountability. Sharing what you are working on and celebrating progress prevents you from feeling like you are shouting into a void.
Pick a strategy and stick to it for the full 90 days. You cannot judge if something works if you only try it for a week. Whether it is your marketing or your daily habits, consistency is what separates the professionals from the amateurs.
Visibility is a non-negotiable for a new or growing VA. It can be uncomfortable, but you must learn to embrace it. If you are hiding in plain sight, your ideal clients cannot find you. See visibility as a sign of growth, not something to be feared. Aim for at least 15 minutes per day!
You are braver than you believe. Whether you are dealing with imposter syndrome as a new VA or scaling a team, trust your gut. You know your business better than anyone else.
One of my most used phrases when mentoring is: “Slow down to speed up!” Working from a state of panic is the enemy of productivity. Focus intentionally on one thing at a time. It does not matter how fast you go, as long as you are moving forward.
Treat your business as the best career choice you have ever made, because it is. Be authentic and hold yourself accountable. When you treat yourself as the most important person in your life and your business with the respect it deserves, everything else falls into place.
